Office Administrator -

Prime Heating & Plumbling are a Well-Established and Progressive Company based in Orsett, Essex, and carry out Plumbing & Heating Installations primarily in residential and light commercial properties within the M25 and home counties.

This is  initially for Maternity Cover for up to 1 Year but we expect to make this permanent as we are a growing company

Salary & Hours  

Salary £24,400 - £26,000 pa

Hours:  Full Time 40 hours:  8.30am - 5.00pm   Mon-Fri (30 mins unpaid lunch break)

Duties and responsibilities

1. Answering office phone - daily queries and checking emails and Whatsapp - responding to queries as required.

2. Speaking with engineers daily to gain updates and actions needed for you to support them to complete their work.

3. Sending out invoices for completed work - Finance department to have set up ready to send

4. Calling clients and tenants to make bookings for the engineers.

5. Working with estate agents to arrange bookings, passing on quote information to the quoting team

6. Call clients following work being carried out by the team checking client is happy and asking for reviews

7. Log staff attendance, marking down absence ready for the finance team to process payroll

8. Log where clients are hearing about us so this can be monitored for marketing purposes

9. Managing service m8 schedule, booking jobs, closing jobs, converting into quotes file ready for quoting

team.

10. Arrange Worcester callouts for clients when required.

11. Monitor boiler service and gas certs due, arrange with clients when required

12. Ad Hoc admin duties as required to support the office team

Results expected

1. Client queries are dealt with within a timely manner showing the highest level of customer care at all times

2. Excellent communication skills when speaking to clients, engineers and the office team to ensure

productivity

Knowledge, skills and abilities

1. Experience working with Xero software would be preferred but not essential as can be trained.

2. Computer skills required

3. Great communication skills

4. Ability to multitask in a busy office setting and also work independently

5. Able to use initiative and find their own solution to carry out tasks

Experience needed

1. Working within an office setting

2. Computer literate

3. Customer service experience required

4. Phone skills

Other/special requirements 

Hold a full driving licence and have own transport as no public transport to

get to office.
